How to: define a new process

Start from scratch

  1. Go > Foundation > Process Management.
  2. Click ‘Add new process’.
  3. Click ‘Define new process.

Set-up

  1. Provide a name by filling out the ‘Process name’ field.
  2. Provide a Process description  in the ‘Process description ’ field.
  3. Select a Main process 
  4. Select a Process owner from the user list.
  5. Select a Data owner from the user list.
  6. Select the applicable department.
  7. Select the actors, these are the people who will process data within this process , from the actor list or click on the ‘+’ to define new actors.
  8. Select the data that will be processed  from the data objects and data attributes list or create new types by clicking on the ‘+’ sign.
  9. Select the data subject type, about whom will data be processed , from the the data subject type list or create new types by clicking on the ‘+’ sign.
  10. Select the IM systems that are involved in the process  or create new IM Systems by clicking on the ‘+’ sign.
  11. Click ‘Next’.

Add Process Steps

  1. If actors need to be replaced click on the swimming lane sign to replace the order of the swimming lanes.
  2. Create a step by dragging a step into the process. The following step types are available:
    1. Send data: use this step to indicate data is send internal to another department or external to another stakeholder.
    2. Sub-process: use this step to refer to sub-process.
    3. Action: use this step to indicate data is being processed.
    4. Gateway:
      1. A complex gateway: Use the complex gateway if you need multiple gateways to describe the business flow; otherwise, you should use a simpler gateway.
      2. An exclusive gateway evaluates the state of the business process and, based on the condition, breaks the flow into one of the two or more mutually exclusive paths.
      3. An inclusive gateway: breaks the process flow into one or more flows.
      4. A parallel gateway: is used to represent two concurrent tasks in a business flow.
      5. A complex gateway: Use the complex gateway if you need multiple gateways to describe the business flow; otherwise, you should use a simpler gateway.
      6. An exclusive gateway evaluates the state of the business process and, based on the condition, breaks the flow into one of the two or more mutually exclusive paths.
      7. An inclusive gateway: breaks the process flow into one or more flows.
      8. A parallel gateway: is used to represent two concurrent tasks in a business flow.
    5. Stop: to indicate the end of a process.
  3. Fill out the step description, the data processed and the linked IM Systems.
  4. Click ‘Save’.
