RESPONSUM allows users to extract data from RESPONSUM sub-modules in two formats: DOCX (Report) and Excel (Raw data). Using export configurations, the user can before export tailor what data should be included in the exported file.

Pre-requisites to get started

• Permissions on the “Export” sub-module as accountable
• An idea of the structure of RESPONSUM and what main sub-module and linked sub-modules you want to extract data from.
• An idea of what format you want the file to be exported in: DOCX (Word report) or XLSX (Raw data)

Fast-track to Brilliance

• Select the “Operations” menu in the main menu bar
• Hover over the sub-section “Import/export”
• Select “Export configuration”
• Give your configuration a name
• Select the format you want to export to: DOCX or XLSX
• Select the main sub-module you want to extract data from
• Configure all fields of the selected sub-module and related sub-modules (Marked as “Related item”) to include in the export
• Save the configuration and trigger a full export

Step-by-step guidance

Export configuration

• Select the “Operations” menu in the main menu bar
• Hover over the sub-section “Import/export”
• Select “Export configuration”
• Give your configuration a name
• Select the format you want to export to: DOCX or XLSX
• Select the main sub-module you want to extract data from
• Configure all fields of the selected sub-module and related sub-modules (Marked as “Related item”) to include in the export
• Save the configuration

A full export can be triggered from the export configuration page. This will include each item of the selected main sub-module. A notification will be provided when the download is ready. Clicking the notification will download the file to your system.

Triggering a specific export from within a sub-module

• Navigate to a module in which you want to trigger an export
• Using the “Bulk select” (Checkboxes in front of items on the overview page), indicate which items you like to include in the export.
• Press the “Export” action button
• Select a prior created Export configuration or create a new export configuration directly
  • Steps on creating an export configuration can be found in the section
• Select an export configuration to start the export
• A notification will be provided when the download is ready. Clicking the notification will download the file to your system.
